Cancellation Policy

Cancellation of reservations must be notified by letter or e-mail as soon as possible. Your notice of cancellation will only be adequate when received by us in writing. Except as provided in paragraph 8, the following cancellation charges will apply. 

The period prior to departure when we receive written notice of cancellation.  

Cancellation fee per person canceling (% of total cost) 

  • 12 weeks or more - 25%. 

6 to 2 weeks - 50%. 

  • 2 weeks to date of departure or later - 100%. 

Depending on the reason for cancellation, you may be able to claim these cancellation charges (less the applicable deductible) under the terms of your insurance policy. Claims must be made directly to the relevant insurance company. If partial cancellation of a reservation affects the basis for pricing, we will recalculate and re-invoice accordingly. 

You may transfer your place to another person (entered by you) in the event that you are unable to travel, provided that we are notified at least 2 weeks prior to departure and provided that it is possible to change certain reservations made in your name. All costs and charges incurred and/or incurred or imposed by any of our suppliers, as a result, must be paid before the transfer can be affected. Any overdue balance payments must also be received. 

Changes to your confirmed trip may be considered based on practicalities and availabilities, but there may be a cost associated with these changes. We do not charge any amendment fee for this. We will only pass on any additional costs involved in providing additional or alternative services incurred or imposed by any of our suppliers. A change in vacation dates will generally be treated as a cancellation of the original booking and a rebooking, in which case cancellation fees will apply. Changes may result in a recalculation of the vacation price where, for example, the basis on which the cost of the original vacation was calculated has changed. 

The itinerary is a guide to which we will try to adhere. Even so, it may be necessary to change it at short notice as a result of circumstances or events beyond our control, such as adverse weather or road conditions or any of those constituting force majeure (see section 13), or due to operating ailments imposed by the owners and operators of accommodation, facilities, and transport. However, your itinerary will remain the same in its content, as far as reasonably possible, unless circumstances beyond our control make this impossible. In the event that weather conditions cause you to incur additional costs, such as accommodation, transport, and meals, these will be borne by mutual agreement between us. 

Changes and cancellations by us: As mentioned above, we may need to make changes and correct errors in the advertised and confirmed details and cancel verified reservations so we reserve the right to do so. Please note that our trips may require a minimum number of participants in order to run. If the minimum number of reservations required for a particular trip has not been received, we have the right to cancel the trip. We will notify you of cancellation for this reason at least 28 days prior to departure. 

Most changes are minor. Occasionally, we have to make a "significant change". A significant change is a change made prior to departure that can reasonably be expected to have a substantial effect on your trip. If we have to make a significant change or cancel, we will let you know as soon as possible. If there is time to do so before departure, we will offer you a choice of the following options: 

  • (In the case of significant changes) accepting the modified arrangements; or 
  • Purchase an alternative trip with us, of a similar standard to the one originally booked, if available. We will offer you at least one alternative trip of equivalent or higher level for which you will not be asked to pay more than the price of the original trip. If this trip is, in fact, cheaper than the original trip, we will refund the difference in price. If you do not wish to accept the trip, we specifically offer you, you may choose any of our other trips that are available, but you will be required to pay the applicable price for any of them. This will mean that you will pay more if it is more expensive or receive a refund if it is cheaper; 

Note that the above options are not available when the change made is minor. 

If we have to make a significant change or cancellation, we will pay you, where appropriate, reasonable compensation under the circumstances and when notified of the significant change or cancellation, with the following exceptions. No payment will be made and no liability will be accepted beyond offering the above options. 

  • We are forced to make a change or cancellation as a result of unusual and unforeseeable circumstances beyond our control, such as force majeure, the consequences of which we could not have avoided even with all due diligence; or 
  • In your case, we have to cancel because the minimum number of reservations required for us to operate your trip has not been reached (see above). 

No compensation will be paid. The above options will not be available if we cancel due to your failure to comply with any requirement of these booking conditions that entitles us to cancel (such as timely payment) or where a change is minor. 

On very rare occasions, we may be forced by "force majeure" (see section 13) to change or terminate your trip after departure but before the scheduled end of your stay. If this situation arises, we regret that we are unable to make any refund (unless we obtain any reimbursement from our suppliers), pay you any compensation, or meet any costs or expenses you incur as a result.
